QIHANG · STOCKLOT BUYING GUIDE

Supplier verification for shoe stocklot purchases

Checking a supplier is a different job from checking goods. Inspection provides observations about the goods within its agreed scope; this page is about who you are dealing with, what their evidence actually covers, and what you still will not know afterwards. Work through it before you commit to a lot, and keep the written answers alongside the quote.

Establish the business identity

Ask for the registered company name, registration or licence number, registered address and business scope, and compare them with the public registry for that jurisdiction where one is accessible to you. Compare the names used in correspondence, on the website and on the quotation. Where a trading name differs from the registered entity, ask for the connection and the identity of the contracting party. Ask which individual is authorised to commit the company, and keep that in writing.

Establish the seller's role in this lot

A seller may hold the goods, trade them, act as an agent, or consolidate from several sources. Ask which role applies to this lot, where the goods are held, who can authorise their release, and how the seller is authorised to offer them. A trader or agent is not automatically unsuitable; the responsibilities and authority need to be clear. Do not infer a role from the way a listing is phrased, and do not assume the seller manufactured the shoes.

Tie the evidence to one lot

Every document should point at the same batch. Ask for the lot reference, the full quantity-by-size chart, a condition statement, and dated photos or video that show the goods as they are now. Then check that the reference, pair total and size breakdown match across quote, chart and inspection record. Reconcile the numbers with our size distribution method, and check the goods against our inspection checklist. Style illustrations, catalogue pages and records from a previous batch do not establish the availability or condition of the lot being offered.

Markings and branding permission

If the shoes or any packaging carry brand marks, ask what permission exists for resale in your market, who granted it, and what the written scope covers. If you require unbranded goods, ask for evidence across the upper, sole, insole, tags, individual boxes and outer cartons — the absence of a logo in one photo is not evidence that a lot is unbranded. Brand status and resale permissions are batch-specific and need batch-specific documents.

Payee consistency

Compare the contracting party, invoice issuer and proposed payee with the quotation. If names differ, obtain a documented explanation of the relationship and payment authority before proceeding. A late account change or unexplained third-party request needs independent confirmation through a contact route you already verified; matching names alone do not prove legitimacy. Record who told you, when, and on what document.

What this checking cannot establish

A registry result can help identify a business, but it does not establish ownership, condition or resale rights for a particular lot. Record which questions remain unresolved, even when the company details match. Nothing here confirms that goods are available, that a quantity is still complete, or that a shipment will be accepted at your border. Confirm destination-specific requirements with the responsible logistics or qualified local advisers when needed.
